Head of Office
About The Role:
As we grow, we’re looking for a Head of Office — someone who brings structure, energy, and a can-do attitude to help our team operate at its best. In this role, you'll plan monthly celebrations and events, assist managers with small tasks, step in when needed, help with new initiatives, and work on company initiatives.
What You’ll Do:
- Oversee daily office operations – from meeting rooms and office kitchen upkeep to ordering office supplies and managing logistics.
- Greet and onboard guests and new hires – handle registrations, access cards, and welcome packs.
- Coordinate with vendors and building admin – cleaners, IT providers, landlords, etc.
- Assist with budget tracking and monthly reports – support Finance with invoices and expense records.
- Maintain health, safety, and wellness protocols – evacuation plans, first aid kits, wellness initiatives.
- Provide team admin support – travel bookings, meeting coordination, and small HR/Finance tasks.
- Track and manage IT inventory – laptops, docking stations, basic troubleshooting.
What You Bring:
- You're caring, communicative, and positive, with a knack for keeping the team's spirits high.
- Neat, responsible, and meticulous, with a sharp eye for details that ensure smooth daily operations.
- Skilled at planning, coordinating, and reacting quickly to situations, while staying open to new ideas.
- Able to communicate seriously when needed, but also with humor to keep things light.
- Discreet, energetic, and with enough strength to handle the occasional physical task (a bit of muscle never hurts!).
- Independent and self-reliant, yet not afraid to ask for help when it counts.
- Organized, practical, and not afraid to get your hands dirty.
- Experience in office coordination or similar roles.
- Strong communication skills and the ability to multitask.
- Comfortable using tools like Google, Excel, and basic inventory systems.
- Fluent in Lithuanian and English.
